VieVinum is an advisory, informative and achievement-oriented exhibition. Its purpose is to provide information on wines, winegrowers and wine-related topics, and to establish contacts among those in the wine industry. All presentations must address the purpose of the exhibition.
Orders for a table are to be placed digitally and are – subject to acceptance by the organiser – binding and irrevocable for exhibitors. A binding registration shall only be deemed to have been made upon punctual receipt of the stated deposit according to the offer and these terms and conditions of exhibition and participation. Simple registration is not sufficient. If the required deposit is not remitted in a punctual manner, no further reservation for the desired number of tables will be made.
Registrations will be considered in the order in which they are received, dependent upon timely payment of the required deposit and the availability of tables. No exhibitor has the right to a specific booth location. Exhibitors will be grouped by region and/or by growers’ association, according to availability of space, provided registration is made in time. After invoicing, the agreed rental rental fee minus the payment already paid, is due immediately and must be transferred to the organiser’s account.
Exhibitors are obliged to keep their tables staffed at all times during VieVinum opening hours.
All exhibitors must be in possession of a valid trade licence.
Subletting a booth or third-party participation are not permitted.
The organiser accepts no liability for accidentally missing or incorrect information in various publications (online/offline).
As a participant in VieVinum, the exhibitor acknowledges and agrees to the conditions of exhibition and participation, as well as agreeing to further pertinent information provided by the organiser. Violations of these guidelines will result in the expulsion of the exhibitor. If an assigned space turns out to be unavailable, the exhibitor is only entitled to a refund of the table price paid, after deduction of the costs incurred by the organiser. No further claims for compensation can be asserted by the exhibitor against the organiser.
The contract between the exhibitor and the organiser is subject to Austrian substantive law, excluding conflict of law provisions. The sole venue of jurisdiction is Vienna.
Any amendments and potential ancillary agreements to this contract must be made in writing to be valid.
If the registration is cancelled by the exhibitor, the organiser shall be entitled to retain 50% of the table price as a cancellation fee.
As of eight weeks before the beginning of the event, this special provision shall be considered nullified and the entire table price plus taxes, duties and other associated costs shall be due as a cancellation fee. Cancellation fees must also be paid even if the organiser succeeds in renting the table to another exhibitor.
The organiser is entitled to reject an exhibitor’s application at any time if, for example, settlement or bankruptcy proceedings have been initiated or threatened against the exhibitor, if claims from previous trade fairs have not been settled or if goods are to be exhibited that do not correspond to the theme of the trade fair.
The organiser is free to reject an application without being obliged to give any reasons.
If necessary in the interests of the event, the organiser may assign the exhibitor a different table in a different location, change the size and dimensions of his booth, relocate or close entrances and exits to the venue and make other changes. An exhibitor does not acquire any legal entitlement to admission to further exhibitions through a one-time admittance.
If a designated space is not available, the exhibitor shall only be entitled to a refund of the table price paid, after deduction of the costs incurred by the organiser. Further claims, in particular compensation for damages, are excluded.
The offer or registration is deemed accepted and binding upon receipt of the stated deposit according to the offer within seven days to the account of M.A.C. Hoffmann & Co. GmbH, Raiffeisenlandesbank NOE-WIEN, IBAN: AT58 3200 0000 0703 5322, BIC: RLNWATWW.
A binding registration shall only be deemed to have been made upon punctual receipt of the stated deposit according to the offer and these terms and conditions of exhibition and participation. Mere registration is not sufficient for this purpose. If the deposit is not paid on time, no further reservation for the desired number of tables will be made.
After invoicing, the agreed rental rental fee minus the payment already paid, is due immediately and must be transferred to the organiser’s account.
Any objections must be lodged immediately upon receipt of the invoice.
Subsequent changes to the invoice address are only possible upon written request and may be subject to a processing fee (depending on relevant administrative costs)
Exhibitors are obliged to keep their exhibition space staffed during the entire period of the fair. It is prohibited to vacate and dismantle the table before the end of the event. Subletting or re-letting the exhibition space (even partially) is only possible with the written consent of the organiser. The organiser may dispose of any exhibition space that has not been occupied by the official opening time. The full fees must still be paid by the initial registree.
Any special events, musical performances, visual and audio presentations etc. in the exhibition areas must be cleared with the organiser, and written consent must be obtained from the organiser.
Failed compliance with or violations of the terms and conditions of exhibition and participation – as well as failure to comply with official orders in connection with the event – will result in the immediate closure and removal of the exhibition booth, with no recourse to legal action. This shall take place at the expense and risk of the exhibitor. The exhibitor must comply fully with the orders and instructions of the trade fair management and its authorised representatives.
The organiser shall be granted a general right of lien on all items of any kind brought to the event venue by the exhibitor, for outstanding and justified claims against the exhibitor. The organiser is entitled to retain any items pledged and store them at the expense and risk of the exhibitor.
The organiser is entitled to modify the starting time and duration of the trade fair for significant reasons beyond the control of the organiser, without the exhibitor being able to derive any claims whatsoever – in particular, claims for damages, against the organiser.
If the event in progress has to be terminated earlier due to official orders – or even if the event is still officially approved but the risk exists that the health or safety of exhibitors or attendees could be endangered as a result – the organiser shall have the right to terminate the trade fair early. In this case, the exhibitor shall have no claims – and in particular no claims for damages.
The organiser has the right to photograph and film at will on the exhibition grounds for their own use or general publications. In this context, the exhibitor waives all objections arising from copyright law.
Liability on the part of the organiser for damage caused by minor negligence is excluded. Liability is likewise excluded for damage caused by gross negligence on the part of the organiser. The organiser accepts no liability for loss of or damage to exhibits or other items belonging to the exhibitor. All types of insurance must be taken out by the exhibitor himself. The exhibitor shall be liable for any damage caused by them or persons connected to them.
Trade fair participants will receive an exhibitor pass that must be worn openly and is non-transferable. Falsifying, copying or duplicating the exhibitor pass is expressly prohibited and will be reported to the authorities.
Smoking is prohibited in the exhibition area.
It is not permitted to bring animals to the location.
In the interests of a ‘clean trade fair’, the organiser asks that diligent attention be paid to the disposal of waste generated by the exhibitor, especially items fallen under the tables.
In principle, the organiser is responsible for the basic cleaning of the area (general aisles, tasting spaces, toilets) and the table (table linen, bread basket, dump-bucket).
Empty glass and cardboard packaging will be disposed of by booth personnel when requested – in the course of the presentation or at the end of the trade fair day if visible in front of the table.
Residual waste (disposable crockery, leftover food, advertising materials, business cards, etc.) must be disposed of by the exhibitor in specially distributed rubbish bags.
We will provide information on additional disposal options in the exhibitor Guide shortly before the trade fair.
A flat-rate disposal fee will be charged for the disposal of waste carelessly left under and around the table.
Advertising or the distribution of promotional material is only permitted at the exhibitor’s own presentation table.
All exhibitors will enjoy the same conditions for presenting their wines. Space and cooling capacities are provided for five wines per table. Sharing a table with multiple participants is not permitted. The layout of the table in the allocated space is the responsibility of the exhibitor, but is subject to certain specifications:
Advertising materials such as roll-ups, temporary partitions, folding walls, balloons, display stands, etc. are not permitted.
Additional space or additional tables will be charged separately. The storage of wine cases atop refrigerators is prohibited.
Advertising or the distribution of advertising material outside the individual exhibition area is not permitted.
Any painting, labelling or attaching of various materials to the exhibitor’s rear walls with nails, screws, adhesive tape etc. is not permitted.
Any painting, labelling or affixing of various materials to floors, walls, pillars and ceilings of the HOFBURG Palace with nails, screws, adhesive tape, etc. is prohibited.
In accordance with the regulations of the building authorities and the fire department, the use of polystyrene, straw, fir brushwood and other highly flammable objects (carpets, curtains and decorative material) is prohibited unless they are impregnated with fire retardant (for which a certificate must be submitted). Fire extinguishers must be kept handy and aisles must be kept clear at all times. Packaging material may not be stored in aisles.
The officially licensed electrical engineer appointed by the organiser is responsible for monitoring and checking safety, issuing findings and reporting to the authorities. All electrical installations, including those carried out independently, must be inspected in accordance with the relevant exhibition laws in Austria, and if necessary, at the exhibitor’s expense.
If the trade fair cannot be held due to force majeure, strikes or political unrest, because of official decrees or other reasons beyond the organiser’s control, but which make it impossible or unreasonable for the organiser to hold the event, the organiser shall inform the exhibitor of this immediately. In this case, the exhibitor shall be reimbursed his costs.
However, the organiser shall be entitled to retain 25% of the table price from the exhibitor as a flat-rate reimbursement of costs and expenses, or to withhold this from any payment already made by the exhibitor. This will partially cover the organiser’s considerable upfront expenses.
If payment is not made on time, 12% interest on arrears will be charged per year. exhibitors who are subject to insolvency or settlement proceedings at the time of registration must notify the organiser accordingly.
